TEMS AND CONDITIONS

These are the Terms and Conditions for ALL equipment for hire from NG Entertainment Ltd. Please read these carefully before booking any equipment with us as any payments made may not be entitled to any refund if the Terms and Conditions of hire in this contract are breached. By ticking the accepting Terms and Conditions box signifies that you acknowledge and accept these Terms and Conditions.

"The Hirer" means the person or company named on the "Hirer's" Details form that booked the equipment.
"The Contract" means the contract for the hire of the Equipment by the "Hirer".
"The Equipment" means all the items belonging to NG Entertainment Ltd. that are to be hired to the "hirer".

Initial Payment, Fees and Cancellation Charges

Deposit
An initial deposit payment of £50 of your total booking fee is required to secure your booking. This can be paid automatically through our online booking system, or your event date can be reserved for 5 days over the phone until we receive payment by cheque or BACS. The deposit you pay to secure your event is non-refundable 30 days leading up the event, and reflects the work we put into events prior to attending, and the bookings we will have missed be securing your date for you.

Cancellations
All cancellations must be made by contacting us. Once your event has been cancelled, your event date will immediately be available for other people to book. *Please note all refunds of monies paid will incur a fee to cover the transaction costs set in place by our 3rd party payment providers.

Full Payment
Full payment is required at least 14 days before your event. An invoice will be generated and e-mailed to you, or you can post a cheque for the final amount.

Delivery
We deliver to any venue within 30 miles of NG2 postcode in Nottingham for free. Further afield is charged at 50p per mile.

Venue, Access and Location
It is your responsibility to ensure you have provided the venues contact information, address, name, and postcode for our attendants to find you. We also require that the venue allows reasonable access for loading, and suitable parking once the booth and equipment has been unloaded. If parking for loading is restricted, you will be liable for any fines that occur as a result and or time used to seek a suitable location. We cannot be held responsible for any errors or delays resulting from incorrect or missing address details.

Set-up of Services
We will arrive to set up approximately 90 minutes before the hire period is due to commence. If you require the booth to be set up earlier an idle time charge applies.

It is your responsibility to ensure that the venue has agreed for us to attend their venue and at the agreed time. This also includes ensuring that there is access to enter the venue and enough space with a power socket within 2 metres of where the services are to be. If there is insufficient space for us to set up, you will still be charged the full hire amount.

It is your responsibility to inform us of any circumstances that may make setting up take longer, these may include but are not exhaustive to; access via stairs, a long distance from unloading area to set-up area, restricted access. If we are not aware of these and the set-up takes longer than normal your hire period may be intruded into.

Hire Period
The hire period will be for a set period, typically three hours, or as specified in the booking form and as agreed by both parties before. This is the amount of time the users have with the mirror.

Use will commence at the agreed time and finish at the agreed time in the booking form unless due to technical difficulties on our behalf, when we provide the service for the set period once rectified.

If your event simply starts late or runs late, our period of hire will still be for the agreed period and times unless we agree to provide additional hours as per our additions.

You shall not be charged extra for the time taken to setup and pack away time ( typically 90 and 45 mins ). This is all included in the overall package price.

Events beyond our Control
NG Entertainment Ltd cannot be held responsible for any circumstances that may prevent us from attending your event; these may include but are not limited to, severe weather conditions, traffic delays, breakdown of our vehicles, sickness or equipment failure. In the case that we cannot attend or fulfil your hire due to events beyond our control we will contact you or the venue as soon as possible. In these instances, our liability will be limited to the refunding all of monies paid.

Termination of Hire
NG Entertainment Ltd. will not tolerate any abuse or threatening behaviour to our employees. If this occurs, NG Entertainment Ltd. retain the right to terminate the hire, with no refund payable for hire time that has been cut short. We are providing a service to you. Our staff have the legal right to be treated with fairness at work and should be treated with respect. Our staff will not tolerate any harassment, abuse or threat of any kind.

NG Entertainment Ltd. also retain the right to terminate a hire if they feel that any equipment or property belonging to NG Entertainment Ltd. is in danger of being damaged or has been damaged due to unruly behaviour from you, any guests or visitors attending the event (invited or uninvited). We also reserve the right to refuse guests to participate in the activities if we feel they are too unruly, or pose a danger to our staff or themselves.

In any instances where we feel there is a need to terminate the hire we will attempt to speak with you or the hosting venue first, if possible to try to resolve the matter before termination.

You will be fully responsible for any damages caused by you or any other attendees at the event to the booth or booth equipment howsoever caused, with the sole exclusion of NG Entertainment Ltd. staff.

In the event of any damages caused by those present to property or equipment in use by NG Entertainment Ltd. you will be charged the full replacement cost and are liable to cost involved in termination of future events due to sourcing replacements.

Any damages must be reported to a member of NG Entertainment Ltd. staff immediately.

Failure of Equipment In the unlikely event that part of our equipment fails and cannot be rectified, and we are still able to continue the event with a slightly reduced service, we shall inform the hirer at the soonest available opportunity to come to an amicable agreement how best to continue. This may include a part refund agreed by both parties.

If such circumstances arise that equipment fails that cannot be rectified, and our services are unable to continue an appropriate and fair refund agreed by both parties shall be implemented.

This policy only affects equipment owned by NG Entertainment Ltd. and not any equipment supplied by the hirer, any 3rd party or the venue that arise beyond our control ( power failure, flooded premises for example ).



Additional notes referring to specific items of equipment

The Amazing Magic Mirror
The mirror is available for indoor use only.

We need a minimum floor area of 10ft x 8ft ( 3m x 2.5m ) with a minimum ceiling height of 7ft (2.2m) to set up the mirror.

The Hirer will arrange for an appropriate space for the Photo Booth at the event's venue.

The Hirer is responsible for providing power for the Photo Booth. The Photo Booth requires a standard 240v 13amp reliable power source within 5m (along a wall) of the set up area. The circuit must be free of all other connected loads. Any delay in the performance or damage to our equipment due to improper power is the responsibility of the Hirer.

The Hirer shall provide crowd control if warranted and shall provide NG Entertainment Ltd. with safe and appropriate working conditions including a flat, solid floor clear of any obstruction.

Stairs
Unfortunately, due to the weight of the equipment, other than a couple of steps, we are unable to man-handle the mirror up flights of stairs. If this is the case, please ensure that there is a working service lift - otherwise we will not be able to continue with the hire.

If we do turn up and find we cannot deliver due to access difficulties including stairs, you will still be charged the full hire rate - as per these Terms of Hire.

Children
Children love our Amazing Magic Mirror and we love making everyone happy. In some cases, however, we may decide to enforce our "children under 12" policy in an effort to maintain order in and around the photo booth. The "children under 12" policy states that Children under the age of 12 will not be permitted in the photo booth without an adult present. The adult does not need to be in the photo with the child/children, but they must be supervising. We very rarely have to enforce this policy.



Failure to observe these Terms and Conditions at any time during the hire period will render the Hirer liable for associated costs and could invalidate the Hirer's public liability insurance policy.
